What we do with
your family’s information.
You are trusting us with details about your son, including his health. Here is exactly what we ask for, who can see it, and how to get it changed or removed.
Five things worth knowing first.
We ask only for what we need to keep your son safe on a Saturday. Only the board and program staff can open his file. A mentor is told his allergies, his medications, and any limit on activity, and nothing else. We never sell, trade, or hand your information to anyone outside the program. Ask us to correct or delete something and we will, without asking you why.
This website also sets no cookies, runs no advertising, and has no analytics or tracking of any kind. Nobody is watching which pages you read.

Only what the program actually needs.
A parent or legal guardian fills out the application. We do not collect information from a young man directly, and we never ask a child to register himself.
On the application
- About your son. Name, date of birth, address, school, grade, and grade point average.
- About you. Guardian names, phone numbers, email addresses, and emergency contacts.
- About his health. Conditions, activity restrictions, medications, allergies, insurance, and physician.
- His own words. The short personal statement he writes.
- Your consents. The releases, the Code of Conduct, your photo choice, and your signature.
On the other forms
- Contact form. Your name, email, phone, and message.
- Mentor interest. The same, plus your chapter and role.
- Interest form. Name, age, guardian, and how to reach you.
We ask about ethnicity on the application because grant funders and our own board review who the program is actually reaching. Answering is helpful, not required.
Because we take your son places.
Sessions involve activity, service projects, and travel, sometimes in a private vehicle driven by an advisor. If something happens and we cannot reach you, the people standing next to your son need to know whether he has an allergy, what he takes, and what he should not do.
That is the only thing his health information is used for. It is not used to decide whether he is accepted.
A short list, on purpose.
- The board and program staff. They can open a full application.
- Your son’s mentor. He is told allergies, medications, and any limit on activity. He is not shown the rest of the file.
- The developer who maintains this website. Keeping the form and the records working requires technical access to where they are stored.
Nobody else. We do not sell your information, trade it, rent it, or share it with other organizations, and we do not use it for advertising. We would only ever release it if the law required us to, or if your son’s safety depended on it.
Stored in Google, access restricted.
Applications, including the health information, are stored in Google Workspace, in a spreadsheet and a document folder that only the people listed above can open. We are moving that storage onto the organization’s own Google account, where the health and release records will sit in a separate folder with access held by the board.
How long we keep it. We keep applications as part of the program’s records rather than deleting them on a schedule. They are the record of who has come through Omega League, and they let us answer questions about a young man’s participation years after he finishes. They stay in the restricted Google storage described above, and the same short list of people remains the only one who can open them.
You can still have it removed. Because we do not delete on a timer, asking us is how information goes away. Email us and we will delete what you ask us to, whether your son is still in the program or left years ago. You do not need to give a reason.
Only if you said yes.
The application asks a straight yes or no question about photographs, and we need an answer either way. If you said no, your son is not photographed for anything we publish.
Where we do publish photographs, on this website or on social media, we do not publish the names of the young men in them. You can change your mind at any time by emailing us, and we will take the photographs down.
No cookies, no tracking, no ads.
This site sets no cookies and runs no analytics, advertising, or tracking scripts. We do not know who visits, and we do not build a profile of anyone.
Three things do involve someone other than us:
- Your saved draft. The application saves your progress in your own browser so a reload does not lose fifteen minutes of typing. It stays on your device, it is never sent to us until you press submit, and clearing your browser data removes it.
- Donations. Giving is handled on our page by Zeffy, a donation platform for nonprofits. Your card details go to Zeffy, never to us. Their privacy policy governs what they do with them.
- Fonts. Page type is served by Google Fonts, which means Google can see the address of the device requesting it.
Our Instagram and Facebook links are ordinary links. Nothing from those platforms is embedded in this site.
Ask, and we do it.
Email omegaleague1911@gmail.com and you can:
- See what we hold about your family.
- Correct anything that is wrong.
- Have information deleted.
- Withdraw your permission for photographs.
- Withdraw a consent you gave on the application.
You do not need to give a reason, and asking will never affect your son’s place in the program. If a request would leave us unable to keep him safe at a session, we will tell you plainly rather than quietly ignore it.
Talk to a person.
Anything about your family’s information goes to the board at omegaleague1911@gmail.com, or P.O. Box 720291, Oklahoma City, OK 73172. A board member is responsible for participant records and will answer you.
If we change this policy we will update the date at the top of this page. If a change affects what happens to information you already gave us, we will tell families directly rather than expect anyone to re-read a webpage.
